Bluestones is working with our leading client Bondelivery and due to continued growth they have a requirement for an immediate start Team leader position within their pick pack department.

PURPOSE

To assist/deputise for the shift Team Leader and Supervisor during peak and holiday/absence cover. To provide overall support to the management team ensuring that the warehouse and delivery drivers consistently operates efficiently, safely and providing a high quality service to our client. To co-ordinate all shift activities with a positive leadership approach. Implement company policies and procedures, enforce health and safety regulations and ensure all workers follow proper procedures. May involve working on day or night shift if required. Below is a list of duties, this list is not meant to be exclusive or exhaustive.

DUTIES

WAREHOUSING AND DISTRIBUTION:

· Assistance with the overall site management for the Nutts Corner depot.

· Co-ordination of warehouse activities to ensure process of inbound, dispatch and reverse logistics are to the agreed standard outlined in contract KPI’s.

· To ensure all processes are completed as per client requirements.

· Complete all client reports as required.

· Anticipate and plan the required staffing-hours for processing volumes on a seven shift day operation, monitor and achieve productivity levels.

· Generate appropriate management information and circulate weekly.

· Liaise with client, McBurneys and Nightline to schedule daily collection and return loads.

· Liaise with onsite clients and staff daily as required, in particular Hermes to ensure that all NI courier parcels are transferred to Hermes department by agreed daily time.

Oversee and ensure that all trailers/vehicles are unloaded/loaded daily.
Liaise with McBurneys and other hauliers when appropriate regarding intake of trailers.
Ensure that all faults/damages that are apparent are dealt with immediately.
Liaise with manager/shift supervisors and staff regarding stock shortages and discrepancies.
Ensure Contract Manager and client is notified immediately of any issue regarding intake, pick, pack, IT or deliveries.
Co-ordinate client requirements for intake, picking, packing and delivery to ensure dispatch targets are fully met to all parties involved in the process.
Check all paperwork and ensure it is completed as per client requirements.
Ensure that all administration is complete according to client/Bondelivery specification.
Ensure all orders are picked/packed within the designated timed window, organising reallocation of staff and work schedules as appropriate.
Liaise with Manager/shift supervisors ensuring appropriate levels of staffing to complete pick/pack/putaway seven days per week.
Full cyclical stock take to be managed monthly.
Daily stock checks and discrepancies to be managed on-going.
Daily shift spot checks on accuracy of intake, pick and pack.
Motivate and manage team consistently achieving productivity, compliance and time and attendance standards.
Oversee the warehouse operation
Key holder duties, ensuring Company security requirements are adhered to.
Carry out bag, locker and car searches with team daily – monitor team movements in and out of building.
Liaise with Operations Manager regarding regular maintenance of mechanical equipment.
Report any damage or defects to the relevant department. Ensure accident forms completed as appropriate.
Correct use of handsets as per customer specification and processes correctly followed for picking, packing, locating, location management, UI, RTO pick, and NDTS functions.
NDTS store sortation and scan to sack, in accordance to client specification
NDTS orders/driver runs assembled in loading area, scanned per van route and all sacks and hanging sets loaded.
Organise and assist with general house keeping
Sign out control of handsets, reporting any faults or issues
Providing cover for shift supervisor
CUSTOMER SERVICE:

· Liaise with client/haulier/3rd party daily ref: delivery and collection requirements/stock requirements.

· Ensure the client is notified immediately of any issues regarding stock, quality, collections, intakes etc.

· Deal with relevant client queries obtaining the requested information in a timely manner.

· Participate in any external client audits, visits and meetings.

· Action any relevant points raised by client within agreed deadlines and cost constraints.

· Regularly review client concerns and deal with any complaints received from client and introduce preventative measures as necessary.

· Manage client/warehouse relationship and work to create an effective means of communication between both.

Ensure client is notified immediately of any issues regarding late deliveries, stock, quality, collections, intakes etc.
Co-ordinate customer requirements for deliveries and plan accordingly.
QUALITY:

Ensure quality standards are maintained within the company to a high standard by self and team
Ensure that all deliveries are sorted/processed according to customer specification.
To ensure that all paperwork for the department is always in order.
Ensure that all orders picked do not contain damaged items or are likely to be damaged whilst in transit.
Ensure that you get it right first time.
To ensure that all operational procedures are adhered to.
To participate in quality audits when appropriate.
To ensure compliance with company Quality Policy.
To observe company philosophy on proposals and continuous improvement for the betterment of service, methods and working environment efficiency.
Immediately report any concerns you may have on any aspect of quality.
HEALTH AND SAFETY:

Ensure that you and staff in your area wear the relevant protective clothing at all times (e.g. safety boots, high visibility vest etc).
Ensure all operatives are aware of the hazards within the warehouse and ensure compliance with all health and safety rules.
To adhere to safe working practices in accordance with legislation and comply with all company health and safety rules and regulations.
To ensure the warehouse and yard is maintained in a clean and tidy manner at all times.
Ensure that you and your staff exercise extreme caution in the warehouse / yard ensuring awareness of vehicular traffic.
To ensure all items put away in racking are placed on the racking in a safe manner and is within safe working limits.
To conduct all the relevant checks on the equipment before and after use.
To ensure that safe working loads for all equipment are adhered to (eg fork lift trucks, pallet trucks, racking etc).
Ensure all relevant vehicles are within safe working loads
Ensure that only licensed and authorized staff drive and operate a fork lift/electric pallet truck.
Ensure only an authorised driver, drives and operates a mechanical truck according to legislative guidelines and as per health and safety guidelines discussed during operator training.
Ensure that daily checks on mechanical trucks are carried out and recorded using the daily check book, report all defects to the Warehouse Manager immediately.
Ensure that all vehicles are loaded with even weight distribution.
Ensure that all items are secured into vehicle to eliminate movements whilst in transit and remove the risk to driver when unloading.
To work in a manner as to prevent or minimize the risk of accident to yourself or others.
Assist with audits eg fire audits, spot checks etc.).
Report any safety breaches immediately to the Warehouse Manager.
Investigate / report all workplace accidents or incidents immediately.
To co-operate fully with management and appropriate outside bodies during investigations.
To conduct and review workplace risk assessments and Standard Operating Procedures in line with all tasks, ensuring all staff are trained and reviewed against each.
PEOPLE MANAGEMENT:

Liaise with management when necessary regarding manpower levels.
Ensure all staff in your area adhere to company rules and regulations.
Monitor performance of team and refer to your line manager for advice on corrective action as needed to solve any performance issues.
Deal with minor offences in accordance with the disciplinary procedure.
Fully adhere to the company equality of opportunity policy when dealing will all staff members.
Liaise with Warehouse Manager/HR Manager on all aspects of disciplinary and other relevant issues for your area.
Ensure staff are courteous at all times and project a good corporate image.
Assist with induction and on the job training of all new recruits.
To assist with providing input for the annual reviews of all staff within your department/shift.
Ensure any staff that have been absent have attended a Return to Work interview conducted by self or manager.
To co-ordinate tea breaks, overtime (in conjunction with Operations Manager), ensuring minimum disruption to operations.
TEAM WORK:

To ensure effective communication with shift supervisors and managers at all times and particularly at shift changeovers.
To liaise with the Manager on a regular basis regarding any problems that may arise (operational/security/team performance etc).
To promote an effective team.
To hold regular team briefs.
OTHER:

Ensure that you and your staff wear the company uniform (if provided) at all times and maintain the uniform in a clean and tidy manner.
Project a quality image by behaving courteously to all points of contact both inside and outside of the company.
Assist your line manager/supervisor and other members of the team in completing tasks.
To comply with manager’s instructions in a timely manner.
To ensure full understanding of all instructions given and ask for clarification if necessary.
To comply with prevention of needless waste.
To be responsible for the security and effective use of consumables during day to day activities.
To undertake training/retraining and train other workers as required.
