Position: Operation and Project Manager

Salary: £27k pro rata

Duration:  12 month contract

Hours: 28 – 35 per week

Location:  Antrim

Reports to: FME Director

 

Job purpose

Bluestones staffing is working with Fresh Minds Education to recruit a general manager for their site in Antrim.

Fresh Minds Education help improve health and resilience, They work in collaboration across creative industries, health, education, and community sectors with youth workers, social workers, therapists, parents, teachers, community workers and many more groups.  Fresh Minds Education develops and scales proven mental health and resilience products, services and training to build resilience for children and parents, to help schools, families, communities and people of all ages to thrive.

 

As a general manager you will lead and manage the organisation, playing an instrumental part in assisting the impact and growth of this young Charity. This person will lead the service development and delivery teams allowing both the company’s projects and operations to thrive. They will ensure that the company continues to provide excellence through the delivery of its acclaimed services, operations and customer engagement.

 

Responsibilities

 

Projects and Operational Management

Ensure FME project workstreams and commercial operations are delivered on time and within budget to a high quality standard

Provide a primary point of contact and responsibility for contracted staff, stakeholders, sub contractors and third parties

Provide clear communication between the company, the public and commissioners

Manage FME events, services and products and ensure information is available and promoted on internal and public platforms

Support PR and communications for the organisation

Manage, automate and improve IT and systems

Ensure day to day running of the organisation, process enquiries and address any emerging needs

Create consistent and professional documentation and proformas templates Ensure enquiries across all channels are responded to in a timely manner

Acquire professional workplace endorsement and accreditation for products, programmes & services Ensure that compliance and service standards are adhered to.

 

Team Management

Day to day management of project and administration teams including volunteers

Hold operational and project team meetings to ensure operational and programme progress
Lead a positive environment for team working.

Co-ordinate and communicate personnel matters across all operational areas (holidays, sick leave, staff appraisals etc)

Recruit, onboard and manage staff, volunteers and subcontractors (HR, Accountancy, Legal) attached to FME project and operational workstreams
Finances

Manage resources ensuring operational and project budgets are spent appropriately alongside FME financial administrator

Support the Director and Board of Directors in drafting budgets and providing financial information for funding, quotes and business development opportunities
Participate in fundraising campaigns, tenders, pitching & funding applications.
Reporting & Evaluation

Maintain and develop monitoring and evaluation systems and provide data, information, reports and updates across operations and relevant projects

Create opportunities to maximize feedback and data capture across the organization

Ensure high quality reports are produced within set timescales inline with funders
Appoint external evaluators as and when necessary
Buildings and Assets

Ensure FME buildings are safe workplaces, fully functional and meeting the needs of the organisation, its services, and its team.
Responsibility to ensure FME premises are opened and closed daily
Greet and welcome visitors to FME premises
Keep and maintain records all necessary equipment and assets
Resource Management

Manage FME stock and ensure timely dispatch of product sales

The performance of other duties within your capabilities may be required to meet the needs of the business.  In such cases you will be required to undertake such reasonable requests.

Requirements

Essential Education & Experience

A passion for Fresh Minds Education and the difference we make

Educated to Level 5 or equivalent, inc 5 GCSE (or equivalent)
1-3 years experience of general, team and project management
Proven minimum 1 years experience of managing individuals, people/teams and volunteers

Comprehensive experience of CRM, IT packages, automation and social media platforms

Working independently and using initiative to successfully manage multiple workstreams and prioritizing

A proven good standard of financial management and ability to develop and manage a project budget using public funding

Effective communication, representation and presentation skills

Proven ability to run effective meetings resulting in key actions and outcomes
Monitoring and evaluation systems that help deliver high standards of performance, leading to agreed outcomes

Proven experience of databases and recording monitoring and evaluation data
Proven working knowledge of policies such as child protection, equal opportunities, GDPR and volunteering

Understanding of health and safety & working practices

Can lead, manage and build positive relationships on behalf of the organisation

Able to provide leadership and leads by example

It is a requirement to have access to a form of transport that will allow the person to carry out the job in full.

Desirable

Third Level Qualification in relevant field
Experience and knowledge of working in a charity and health or education  services
Experience of public procurement and funding applications
The appointee will be subject to:

Satisfactory references from two referees; it is preferable that one should be able to testify the applicant’s previous work.

The appointee will be required to satisfactorily complete up to 6 months of a probationary period. This may be extended
