Business Support Officer
Job Description

Main Purpose of Post / Job Summary
To provide a comprehensive and flexible administrative Business Support Service across a range of Council functions and departments as required. This includes implementing and maintaining business support service standards and delivering an excellent standard of customer service for internal and external customers.

The postholder will contribute as a team member to the provision of a modern, professional, high-quality, and responsive business support and customer-focused service, supporting the Corporate and Business Plans of Newry, Mourne and Down District Council.

Duties and Responsibilities
Administrative and Business Support
Provide comprehensive administrative and secretarial support to multiple Council Officers, acting as a point of contact for a service or department.
Deliver confidential business support and administrative cover across departments as required within the Business Support Service.
Maintain business support to agreed service standards and standard operating procedures, ensuring high-quality work, efficient turnaround times, and effective prioritisation.
Process and record applications, system transactions, and queries in line with approved operating procedures.
Customer Service
Provide excellent customer service, including reception duties and liaison with other Council departments, external agencies, and the public. Take ownership of queries and complaints and follow through to resolution.
Offer advice and guidance to colleagues and customers regarding business support processes.
Data, Document, and Financial Management
Maintain data and document management systems, including filing, archiving, retrieval, research, accuracy checks, and transfer of data in line with statutory or service-level agreement requirements.
Prepare papers and reports, action recommendations, manage correspondence, and ensure timely follow-up.
Process financial transactions, including recording and receipt of monies, bank lodgements, updating financial records, generating and processing invoices, purchasing goods/services, stock control, assisting with claims, and budget monitoring per financial regulations.
Operate and monitor Council manual and computerised booking/requisition systems according to approved procedures.
Meetings, Projects, and Systems
Organise meetings, prepare agendas, service meetings, take minutes, distribute documents, and action recommendations.
Assist in the delivery of departmental projects and events.
Support the maintenance of Business Support and Quality Management Systems, monitor and review processes, and implement improvements as directed.
Provide peer support for staff inductions, work placements, and training/development programs.
Contribute to all aspects of service delivery, ensuring high-quality and cost-effective services.
Performance Improvement
Stay updated with changes to procedures and best practices relevant to the service area.
Participate in training and development to maintain the skills and knowledge required for the role.
General Responsibilities
Comply with Health and Safety at Work Order 1978 (as amended), legislation, statutory instruments, regulations, and Council policies, including Dignity at Work, Attendance, and Codes of Conduct.
Promote and enhance the reputation of Newry, Mourne and Down District Council.
Lead by example, behaving in line with Council values internally and externally.
Maintain confidentiality and manage sensitive information in accordance with data protection legislation.
Contribute to Corporate, Departmental, and Regional working groups as required.
Support the execution of the Council’s Emergency and Business Continuity Plans as needed.
