Bluestones Staffing are partnering with Belfast City Council to hire a Receptionist/Administrator on a temporary casual basis. This position has become available due to a temporary increase in workload and will be to assist during the busy upcoming seasonal period.

About the role…
The Reception Administrator (Tours and Exhibitions) provides essential front-of-house support for the Belfast City Council’s Tours and Exhibitions, handling reception services, retail, and ticketing while ensuring a high standard of professionalism. The role involves greeting visitors, supporting tour operations, managing retail sales, and performing various administrative duties, including cash handling and visitor data management. This position requires weekend and evening availability on a casual basis, working as needed based on service requirements.
Job Responsibilities:
- Provide professional reception services for the exhibition and manage visitor interactions.
- Meet, greet, and assist visitors, responding to tour and exhibition inquiries.
- Manage ticketing, sales, refunds, and bookings for individual and group visitors.
- Handle cash, card, and other payment types, following reconciliation procedures.
- Issue and monitor the use of exhibition headsets, ensuring availability and functionality.
- Maintain an organized and presentable exhibition area, reporting any issues.
- Promote and assist in the sale of merchandise and retail items.
- Use point-of-sale and booking systems effectively to manage visitor services.
- Record visitor statistics and update relevant data for council reporting.
- Coordinate visitor passes, track entry and exit, and provide council information as needed.
- Monitor visitor behavior, reporting incidents to management as necessary.
- Assist in emergency evacuations and report any accidents to First Aid providers.
- Maintain the cleanliness of the reception area by liaising with cleaning services.
- Perform other duties as directed by the Civic HQ Management Team.
Essential Criteria:
- At least one year’s experience in a customer-facing reception role, with an emphasis on customer service and managing non-native English speakers.
- Proven experience in ticketing, cash handling, sales, and organizing bookings.
- Proficiency in ICT systems, preferably with booking and point-of-sale software.
- Effective communication skills, both verbal and written, with various audiences.
- Strong customer care skills, including maintaining a positive image for Belfast City Council.
- Organizational skills, with the ability to prioritize tasks and meet team goals.
- Ability to work independently and as a team member, with decision-making skills.
- Proficiency in basic Microsoft Office software.
- Awareness of basic health and safety responsibilities.
